Understanding VA Claim Processing Stages

Overview

Every VA disability claim moves through a defined sequence of processing phases. While claims sometimes cycle backward for additional development, understanding each stage helps veterans track progress and set realistic expectations.

BLUF: These stages happen whether you follow along or not. But tracking where your claim sits prevents the anxiety spiral of calling the 800 number daily wondering why nothing seems to move.

Pre-Submission: Intent to File

Not an official processing stage

Beginning an online claim without final submission creates an Intent to File, preserving your potential effective date for up to 12 months while you assemble evidence.

Processing Stages Explained

Stage 1: Claim Received

The VA has formally accepted your submission into their system. This timestamp establishes when processing officially began.

Stage 2: Initial Review

A Veterans Service Representative examines your submission for baseline completeness. They determine whether sufficient information exists to proceed or whether fundamental deficiencies require starting over.

Stage 3: Evidence Gathering

Active collection of supporting documentation occurs here: - Service medical records retrieval - Authorized civilian treatment records - Compensation & Pension examination scheduling - Development letters requesting clarification

Stage 4: Evidence Review

After roughly 30 days, the VA assesses whether all requested materials arrived. Missing items cycle the claim back to Stage 3. Complete files advance to rating.

Stage 5: Rating

Expect extended wait times here as claims queue for available raters.

Rating Veterans Service Representatives analyze all evidence and assign percentages with written explanations. Discovery of development gaps returns claims to Stage 3.

Stage 6: Decision Letter Preparation

The formal decision document takes shape, detailing your ratings and calculated monthly payment. Quality review may still send claims backward at this point.

Stage 7: Final Review

Senior staff conduct quality assurance. Partial decisions with deferred issues send remaining conditions back to Stage 3 for continued development.

Stage 8: Complete

Your decision mails within approximately two weeks. Access your rating online at VA.gov under claim letters.

Expected Timeframes

Stage Typical Duration
Stages 1-2 Several days to one week
Stage 3 30-90 days depending on evidence complexity
Stage 4 1-2 weeks
Stage 5 Two weeks to multiple months
Stages 6-7 1-2 weeks
Stage 8 Letter arrives within two weeks

Overall average: Initial claims typically resolve within 3-6 months, though complex cases extend longer.
